Banner FAQ

Banner can be accessed ON Campus ONLY by going to www.ivytech.edu/banner and clicking on the Internet Native Banner (INB) link.

We recommend using Java 6 Update 18. If you use a later version your Banner will not function correctly.

Why do I receive a "Forms" error "FRM-92101" when resetting password?

This is because you are not following the password requirements for banner.

You can view the password requirements by clicking here.

Why are the toolbars missing from Banner?

This is due to using the incorrect version of Java

We recommend using Java 6 Update 18. If you use a later version your Banner will not function correctly.

If Java prompts you to update just cancel or say no to the update.

If you mistakenly update your Java here's what you need to do:

  • Click Start, Control Panel
  • Double Click Java to open the Java Console
  • Click the Java Tab, then click View
  • Un-Check the latest Java update and then click OK
  • You will need to close and then re-open Banner

Action Menu
A drop-down menu listing navigation and command functions.

Advancement Module (See Institutional Advancement)
Advancement is a module from SunGard Higher Education used by Ivy Tech Community College to nurture and monitor relationships between the College and constituents - alumni, donors, friends, parents, community members, corporations, foundations, and other organizations – for the purpose of securing contributions and other gifts for Ivy Tech Community College.

Alias
An alternative name for a table or column in a Structured Query Language (SQL).
Example: To define an alias for a table in the FROM clause of a query: FROM THINGS "T," PROPERTY_LIST "P." This defines "T" as the alias for the THINGS table and "P" as the alias for the PROPERTY_LIST table.

AppWorx
Software used to automate, integrate, and accelerate business application processing. AppWorx allows users to automate batch processing and job scheduling without the need for scripting.

Application Form
A type of form used in Banner to enter original information and update existing information. In certain applications, calculations can be viewed in the system.

Attribute
A characteristic. For example, the data type and size of a column are two of the column’s attributes.

Auto Hint
The automatic display of a message when the cursor enters the field in a form.

Automatic Commit Commands
Commands that automatically commit once the function is performed. The commands with automatic commit are:
 ALTER
 CREATE
 DROP
 RENAME

Axiom
Axiom is the product that is a front end to Xtender that allows defining of scanned documents’ format so that the data can be automatically uploaded into the Banner database.
Banner
Banner is the name of the administrative suite of modules (also called an ERP) purchased by the College from SunGard Higher Education to provide enterprise-wide applications on a single database. It includes modules for student, financial aid, finance advancement and human resources.

Block
A section of a form containing related pieces of information – usually a single database table. Blocks are usually separated by a solid line.

Bookshelf
This option found in the Help menu allows you to access Banner documents directly (manuals) from your computer. These electronic documents look the same as the hard copy versions, regardless of the computer you are using.

Business Process Analysis (BPA)
Business Process Analysis is a methodical review of existing business processes. The goal of the BPA is to look for improvements and efficiencies that can be implemented during the project.

Business Process Review
Business Process Review is a series of internal audits conducted by individuals from Ivy Tech Community College and SunGard Higher Education to examine the current processes conducted at the College and how the software can add to, improve or maintain those operations.

Campus Connect
Campus Connect is Ivy Tech’s name for the Sungard product (Luminis) that serves as a gateway to electronic information. It is the "portal" technology that supports students and employees. Portal technology provides centralized Web access to information and services in a secure environment.
 
Channel
A portal web page is made up of numerous channels. Channels provide at-a-glance information with click-throughs to supporting web pages or resources. Channels are differentiated from one another by borders, a title, and a tool bar. Each channel has unique content that is “owned” by a group or department.
 
Client-server architecture
A network architecture in which each computer or process on the network is either a client or a server. Servers are powerful computers or processes dedicated to managing disk drives (file servers), printers (print servers), or network traffic (network). Clients are desktop computers (such as Macintoshes, PCs, or workstations) on which people run applications. Clients rely on servers for resources, such as files, devices, and even processing power.

Cognos 8i
Cognos 8i is one of the industry leading suite of reporting tools to be used against the ODS and EDW.  Throughout its platform, it facilitates every aspect of Business Intelligence which is the expert use of information, knowledge and technologies efficient in the management of organizational and individual business. In addition, it facilitates ad hoc reporting, standard reporting, report archiving, dash boarding, labels, form letters, and OLAP (see On Line Analytical Processing)

Column
A component of the database that contains the definition of what kinds of data are to be collected and stored in the rows of the table.

Commands
You can retrieve data from your database without using Banner. Some examples of how to do this are the Spreadsheet Budgeting application that works with Microsoft Excel and your database, and SQL commands.

Commit
A command executed in Banner that saves changes made to information.

Common Matching
The process used to check for existing identification records before a new one is added to the database.

Constraint
A rule applied to a table or column that restricts the data allowed in any row in the table.

CONV
CONV is an instance of the Banner database used to receive the pre-production loading of data and tables from the old enterprise system.

Courseware / Course Studio
Courseware and/or Course Studio is a set of tools that allow communication and other functions for each course section. The tools available include: email, message board, chat, file sharing, and announcements.
 
Dashboard
Dashboard is a user interface which organizes and presents information in an interactive manner to allow the user to customize the information and processes most applicable to their status.

Database
A collection of tables used to store data.

DBA (Database Administrator)
Database Administrator (DBA) is a person who runs the database, insuring that it is running properly. Certain problems that occur within the system can only be addressed by this person.

Database Schematic
A “map” of related tables within the Banner system. This map shows relationships between tables and data elements within the tables.

DirectDeposit Statement (See IntelleCheck)

Discoverer
Discoverer is a reporting tool that allows you to create customized reports directly from the Banner ODS database. While the regular reports -- found on the Reports tab -- are predefined and the format is fixed, Discoverer allows you to change parameters, reorder the output table, and export the report results to an electronic file.

e~Print
e~Print is a web based report distribution and archiving system for reports generated within Banner and/or Discoverer. e~Print utilizes the Internet to distribute reports across the organization within minutes after completion. e~Print eliminates paper reports and the need for end-users to wait for a report to be delivered to them.

Email Direct Deposit Statement
The ability to email a direct deposit statement, is included within the IntelleCheck suite of software. Through SSB and email, end-users will be able to look at and print their direct deposit statements.

Enterprise Data Warehouse (EDW)
A system that can store, manage and retrieve large amounts of information and data. The data warehouse is a single database where all College information could be stored. Using a data warehouse also allows for the production of reports and analysis without slowing down the database operations. The EDW enables decision makers at every level of the institution to have ready access to enterprise-wide analytical data so that they can proactively plan business activities. The EDW complements the ODS by providing historical snapshots of institutional metrics and measures to further support an aligned, data-driven strategic-planning and decision-making process.

Enterprise Resource Planning (ERP)
By definition, ERP should help you put the resources of an organization to the best possible use. In this case, it is a collection of software applications that use a common database to integrate Ivy Tech Community College’s business processes and is accessible to users through a web portal. “Banner” is the name of the ERP system that will be implemented. In every context used during the course of this project, ERP refers to the Banner suite of applications and the methodology of converging services and systems.

Entity
An entity is a person or non-person that exists on the Banner database.

Extracting data for reports
You can retrieve data from your database without using Banner. Some examples of how to do this are the Spreadsheet Budgeting application that works with Microsoft Excel and your database, and SQL commands.

Evisions
Evisions is the vendor providing forms and check software.

Field
A field is a data element within a block. For example, an address block may contain the street, city, and state fields.

Finance Module
The module of the Banner database that includes the core processes for procurement, accounts payable, accounts receivable, fixed assets, internal stores, journal entries, budget development and others.

Financial Aid Module
The module of the Banner database that includes: FAFSA downloads, Document Tracking, Funds Management, Packaging, Paying (Student credits)

Flat files
A flat file is a file of organized text data that isn't organized in a formal database format (in other words, without rows and columns)

FOAPAL (pronounced Fow-Paul)
An account code meaning Fund, Organization, Activity, Program, Activity, Location. FOAPAL is the accounting code that replaces the FRS account number in Banner Finance. Each of these FOAPAL elements tells us a specific piece of information about the transaction (typically, an income or expenditure item).

Form
A from is a screen used to query, enter, and/or update information.

Form header
The form header is the title bar of each Banner form. The header contains the descriptive form name, the 7-character form name, the release number, and the database name from the Installation Control Form (GUAINST).

Form Errors
A form error is an error that occurs in Banner due to the malfunctioning of a form in the system. The error message will display in a pop-up window on the computer monitor, or in the dialog line located at the bottom of the Banner window.

FormFusion
FormFusion is the name of the product from Evisions that takes data from the Banner database and creates files for printing such as Invoices, Purchase Orders, Transcripts, etc. It can also be used to produce nicely formatted laser printed documents from any report or output file.

Function keys
Function keys are specific keystrokes or keystroke combinations that are equivalent to a selection on a menu. For example, at your institution, pressing F7 might be equivalent to selecting Enter Query. To find the keyboard equivalents at your institution, click the Show Keys button on the toolbar or select Show Keys from the Help pull-down menu.

Functional Form
A functional form is a form/screen used to query, enter, and/or update information.

Go-Live
Go-live is the date when an application is activated and open to operation outside the training environment. For example, when the HR module goes “live,” it becomes available for use throughout the entire College.

GUI (Graphical User Interface)
A GUI is window driven software that employs graphical images and tools in addition to text to represent the information and actions available to the user.

Help
Banner has online help available for selected forms. The online help assists you in completing tasks related to the form that you're using.

HR/Payroll Module
The module of Banner used for the Banner Human Resources suite of applications. Banner Human Resources is a flexible administrative and self-service solution that enables Ivy Tech Community College to manage personnel information, automate payroll administration, streamline budgeting policies and procedures, and allow employees to get the most up-to-date answers to routine personal/payroll questions through channelized content.

ID Number
The Student/Employee/Vendor/Alumni ID Number is the Banner ID number that will be assigned to all of the entities in the new system. All Ivy Tech Community College ID numbers will begin with C.

Implementation
Implementation describes the period during which Ivy Tech Community College will install the new Banner suite of applications and provide the training to operate the applications to the College community. The “Go-Live” date represents the end period for an individual implementation period and the beginning of full functionality. The Implementation Period for this project will last several months.

INB (Internet Native Banner)
The technology that allows all of Banner forms to be accessible via a web browser.

Inquiry
Inquiry or display access enables the user to view, analyze, but not change data. This may also be referred to as query access.

Institutional Advancement Module (See Advancement Module)
The institutional advancement module of Banner that includes: volunteer management, membership program analysis, prospect tracking, matching gift processing, and advancement individual solicitation. Financial data from the Banner Advancement Module is transferred via an interface to the Banner Finance Module.

IntelleCheck
Intellecheck is the name of the product from Evisions that produces Accounts Payable Checks, and Payroll Checks and Direct Deposits on blank laser check stock. The system includes a positive-pay interface with the bank, re-print capabilities, etc.

IntelleCheck – Accounts Payable
Accounts payable is an accounting transaction that covers payments to suppliers, vendors, etc. that are owed money. This process is integrated seamlessly in Banner and requires no interaction from staff members.

IntelleCheck – Payroll
Payroll is the sum of all financial records of salaries, wages, bonuses, and deductions. This process is integrated seamlessly in Banner and requires no interaction from staff members.

iSQL*plus
iSQL*plus is an Oracle programming language used by the technical staff to interface with Banner.
 
Job submission
Job submission is the way Banner runs reports or processes. For example, let's say you want to find all students who have outstanding parking fee balances. You would "submit the job" by entering your criteria for the report and then telling Banner to go into the database and find the matching data.

KEY (also, Primary Key)
A key is a column or set of columns in one table that uniquely identifies each row in the table. Each row in a table has a value in the primary key different from that of every other row in that table. The primary key cannot be null.

Key Block
The key block appears at the top of each Banner form and used as the query criteria required to access data.

Legacy System/PLUS
The Legacy System/PLUS is the current system that houses Ivy Tech Community College data. Because of its limitations for compatibility to current standards and systems, the Legacy system will be replaced during this project and all information will be transferred to the new system. “Legacy system” is a moniker typically given to old, large system that has become outdated and difficult to maintain.

LOV (List of Values)
A list of possible field values which are displayed by pressing the List of Values (LOV) button next to the field.

Luminis
Luminis is the Sungard product that serves as a gateway to electronic information. Ivy Tech Community College calls this gateway “Campus Connect” which is the "portal" technology that supports students and employees. Portal technology provides centralized Web access to information and services in a secure environment.

Menu Bar
The menu bar is located at the top of the screen, below the form name and title bar, the menu bar has a list a series of options (e.g. File, Edit, etc) available on a specific form.

Module
A module makes up the independent pieces of the larger Banner suite of applications. For example, the following are the modules found in Banner: Financial Aid, Human Resources, Student, Finance, and Advancement.

More…
“More…” appears at the bottom right of a Banner form and indicates more windows for this form.
 
Naming conventions
Naming conventions are a set of rules for naming forms, jobs, and tables in Banner.

Null
Unknown or missing; having “no value”.

Object Search
Object Search is used to access a form, job, menu, or QuickFlow if you know only part of the name, its description or type. When you use Object Search from a form, the current form remains open. When you exit the requested object, you return to the original form.

ODS (Operational Data Store)
The ODS is a shadow database of Banner that is the source for reports. By using a separate database performance on the production system is not impacted. The Operational Data Store (ODS) enables you to extract information from Banner, reorganize the information into a simplified format, and then store the information in the ODS database where end users can create and deploy operational and ad hoc reports.  The ODS provides an extensive and flexible data store and business organized reporting views with fewer columns and improved performance. You can use these views alone, or in combination with other views.

OLAP
On Line Analytical Processing software (OLAP) does what its name implies. Databases configured for OLAP employ a multidimensional data model, allowing for complex analytical and ad-hoc queries with a rapid execution time.

OTLP
On Line Transaction Processing (OTLP) is a class of programs that facilitate and manage transaction oriented applications, typically for data entry and retrieval transaction processing. Both INB and SSB can be classified as OLTP systems.

Oracle
Oracle is the vendor of the database management system that is used by Banner to store and organize enterprise data.

Oracle errors
Oracle errors are errors that occur in your system due to a function of the Oracle database. You'll see the error message either in a pop-up window on your screen or on the dialog line near the bottom of your Banner window.

Origination tag
Origination tag is a unique value that identifies a fixed asset at your institution (a desk or a set of chairs, for instance). It is used to track depreciation and related expenses throughout the useful life of the asset.
 
Permanent tags
Permanent tags are used to track assets in the Fixed Assets module of the Banner Finance System.

PIDM
The PIDM is an identification number unique to each entity in the Banner database. A “duplicate PIDM” cannot exist but when stated means that the person exists more than once in the database each with a separate PIDM. 

Positive Pay (See IntelleCheck)
Positive Pay is an automated fraud detection tool that matches the account number, check number, and dollar amount of each check presented to a bank. Utilized by the IntelleCheck software package.

Portal
A portal is an application that presents a user interface to several different applications via a web browser. Currently, Ivy Tech Community College uses a portal application called “Campus Connect” to access several services and view private and public information.

PPRD
PPRD is the instance of the Banner database used for the pre-production development of Banner

Primary key
A primary key is a column or set of columns in one table that uniquely identifies each row in the table. Each row in a table has a value in the primary key different from that of every other row in that table.

PROD
PROD is the production instance of the Banner database used by Banner

Query
A query is a question in Banner that looks at the data in the Banner database for an answer. Banner queries use SQL (Structured Query Language), which is an English-like set of commands for defining database objects.

Quickflow
Quickflow is a feature in Banner that allows linking numerous required screens in order to complete a given business process.

Record
A record is a collection of information stored in a database table as a single unit. One or more records may be included in a single block.
 
Relational database
A relational database is a collection of tables connected together in a series of relationships so that they model some small part of the real world.

Role
Each person whose data is in Banner is assigned a role. The default roles are: Student, Faculty, and Staff. A person can have more than 1 role, and the roles can change. Example: A faculty member who is taking a class for a term is assigned both a Faculty and Student role.

Rollback
Rollbacks allow changes and updates that have not been committed to return to the previous state.

Row
A row is a component of a database table that contains the actual data organized in columns.

Scroll Bar
A scroll bar is either a horizontal or vertical bar that appears at the side or bottom of a Banner form window. Clicking the arrows at the ends of the Scroll Bar will move the window and display additional information.

SciQuest
SciQuest HigherMarkets is a web-based software tool that provides a comprehensive, on demand e-procurement solution for higher education and manages the entire institutional procurement cycle. HigherMarkets allows institutions to requisition, approve, purchase, receive, invoice and process payments for all purchases.

Security
Security is the way in which Banner keeps unauthorized users from making changes to the system. Generally set up by your DBA (or other high-level technical people) via various forms within Banner. You're not allowed to access these forms. Sorry! Also controls the codes that you're able to use when you enter information via a Banner form.

SEED
SEED is an instance of the Banner database used exclusively by DBAs for the control and maintenance of the database.

SSB (Self-service Banner)
The ability to access information and services 24 hours a day, 7 days a week, 365 days a year. Self-service applications eliminate the need to go to an office or wait in line to complete a transaction or a process and allow the user to complete the action online.

Single Sign-On
Single Sign-On is a process by which the user only has to log in once to have access to several college systems and services. Once logged in, the user can access all of the resources he/she is authorized to use without further logging on to those individual systems or networks. This process is referred to as Single Sign-On or SSO.

SPRIDEN ID -- TO BE DETERMINED; BUT HERE IS AN EXAMPLE:
Faculty, staff, and student user ID's, also referred to as "SPRIDEN ID's." Consists of a letter and eight digits and is a personal identification. ID's are no longer connected to any personal information such as first name, last name, or Social Security Number (SSN). The SPRIDEN ID resides in the SPRIDEN table.

SQL (structured query language)
Structured Query Language (SQL). A database sublanguage used in querying, updating, and managing relational databases.

Status Line
The status line is located at the bottom of a form; it provides information about the current records being displayed. It also shows if all records available are being displayed. The "*" denotes that all records are shown.

Student Module (Saturn)
The Student Module of Banner fuses administrative and academic functions that make it easy to manage data strategically while giving prospects, learners, and faculty secure online access to the information they need. Prospects can apply for admissions. Learners can search and register for classes by term or date, and retrieve financial aid data. Faculty can easily manage course information and advise students. It includes such things as Curriculum, Scheduling, Admissions, Registration, Matriculation, Fees, and Records

Sungard Higher Education (formerly SCT)
Sungard Higher Education is the vendor that provides the Banner software.

Tabs
On Banner screens, channels are grouped onto tabs. You can move from tab to tab by clicking on the tab label. The tabs that will be displayed are dependant on the role(s) that you are assigned in Banner.

Table
Tables are the Oracle structure that holds information inside a database. A table organizes information in columns and rows, so the information is easy to manipulate; for example, you can sort, filter, find, combine, or add information.

Term
A term is a unique identifier used to represent a specific semester and year. The term is a six digit number with the first four digits representing the year and the next two digits representing the semester. For example, 199920 represents the Spring 1999 semester.

TEST
TEST is an instance of the Banner database used for the testing of database changes and additions. TEST is a regularly-scheduled “clone” of PROD.

Title Bar
The title bar is located at the extreme top of a Banner form; it displays the full name of the form and it's seven character identifier.

Tool Bar
The tool bar is located under the Menu Bar at the top of a form; it contains icons that are used to navigate through the form.

TRNG
TRNG is an instance of the Banner database where users can “play” and not hurt anything (or anyone) – normally reserved for training purposes.

Update
Update access provides both view and add/update/delete capability to a user. This may also be referred to as maintenance access. Update access is generally limited to users directly responsible for the collection and maintenance of Banner database data.

Validation form
A validation form is a form that defines values required by Banner.

Wildcard
A wildcard is a character that is substituted for unknown character(s) in a Banner query. A percent sign (%) stands for any number of unknown characters; whereas an underscore (_) stands for only one unknown character.

Workflow
Workflow is the set of relationships between all the activities in a project, from start to finish. "Workflow" describes the structured movement of documents from one stage to the next automatically after proper authorization is received. "Workflow" processes can be programmed into the Banner applications to eliminate the need for the physical circulation of paper requests, and actions. "SCT Workflow" is the application the college will use to develop and implement selected workflows into the ERP system environment.

WPA (Workflow Process Analysis)
Workflow Process Analysis is a smaller version of a Business Process Analysis. The goal is to develop Workflows for the college.

Xtender
Xtender is a Banner product that does document imaging management.

How to print transcripts in Banner
Requesting Banner Transcripts

SHARQTC is used to request a transcript for a student.

1. Enter the ID in the key block, or search using the drop-down function if the name is unknown.  Then

2. Execute a next block function. 

*Note:  If previous transcript requests have been entered for this student, they will be displayed - insert a record to create your request.  If no previous request exists, the form displays a blank record.

3. Complete the following fields:

• Level – UG

• Current date – defaults to today’s date

• Transcript type – INTL (internal); EXTL (official)

• Copies – defaults to 1; change to the number of copies you wish to print

• Official – leave blank if internal, check if official transcript

• Billing Term, Student Information Term, and In Progress Cutoff Terms– default and may be left as they are.  If billing term is not populated, use the current term.

• Choose the detail code for your region so that the transcript charge will populate.  The detail codes for transcripts are AFTR, BFTR, CFTR, etc., with the first letter representing the region

• This will populate the Amount field with a $5 charge.  If the student is requesting more than one transcript, you will need to manually change that fee to the correct fee.

4. Click the Issue Information tab of the form; enter MA in the Student Address Type field if the transcript is to go to the student; search for an external institution code if the transcript is to go to a college or high school; or you may type in an address.

5. Save your screen; your request is complete.

6. If you print transcripts one by one, you will need the student’s Banner ID, so make a note of it, but you can print all transcripts pending as well. 

7. After a transcript has been printed, the system updates the Transcript Print Date field.

Printing Banner Transcripts

SHRTRTC is used to print transcripts you previously requested. 

1. Type SHRTRTC in the Go To box of the Banner Main Menu. The Process Submissions Control Form—GJAPCTL—opens.

2. Next block to select a printer code for your transcripts from a list on GTVPRNT.   In the “Special Print” field enter TRANSCRIPT.

3. Next block function to enter the following parameters to request your transcripts.  *Note:  The values should be entered in upper case.

Parameters:

02 Enter the student ID (9 digits) followed by the % sign to print all requests for a specific student; enter just the % sign to print all pending requests for all students.

06 You may use up to nine address type codes in the address hierarchy.  For example, if PR is to be the second address type code in the hierarchy, you should put the cursor on the record for parameter 06 and execute an insert record function.  Then type 06 as the parameter number and 2PR in the values field.
